#1 Why AI agents
We’re a small AI consulting company. We help founders and agencies build operational systems — Notion workspaces, automations, SOPs, the whole stack.
We needed marketing, finance tracking, client management, and strategic coordination — but not four full-time people to do it. We needed systems that handle the routine so we focus on the work that actually matters.
AI agents gave us that. Not the chatbot kind that answers customer questions. The kind that monitors your content performance, drafts blog posts, tracks invoices, and flags when a project is falling behind.
#2 The architecture: 4 agents, clear domains
We split our operations into four domains. Each one has a dedicated AI agent with its own personality, tools, and rules.
- Strategy Hub — cross-agent coordination, founder briefings, research
- Client Delivery — project tracking, deadlines, deliverables, scope management
- Finance — proposals, invoicing, cash tracking, payment follow-ups
- Marketing & Content — blog articles, LinkedIn, SEO monitoring, lead tracking
Each agent owns its domain completely. Marketing doesn’t touch invoicing. Finance doesn’t write blog posts. Clear boundaries prevent chaos.
Everything runs on Notion as the single source of truth. The agents read and write to the same databases you already work in. No separate dashboards, no hidden state.
#3 How the human stays in control
This is where most AI implementations go wrong. They either give AI too much freedom or too little.
Nothing gets published without a human saying yes. No email goes out without review. No invoice gets sent without confirmation.
#4 A real example: how this article got written
This article you’re reading right now went through our Marketing agent’s blog pipeline. Here’s the actual process:
The agent pulled performance data from Google Search Console and our WordPress blog. It identified that «AI in operations» was a core content pillar with zero published articles. It generated a content brief with keywords, key points, and a suggested angle.
The brief landed in our Content Pipeline database in Notion. Status: «Brief Ready.» We reviewed it, made a small adjustment, and changed the status to «Brief Approved.»
The agent picked up the approval, wrote the article following our brand voice guidelines, ran a self-review against the brief, generated SEO metadata, created a cover image, and pushed the whole thing to WordPress as a draft.
We reviewed the draft, made final edits, and published. Total founder time: about 15 minutes. The agent handled the rest.
#5 What it costs vs. what it replaces
The entire system runs for under $100 per month in infrastructure costs. The AI agents use our existing Claude subscription. The tool layer runs on Notion’s hosted sandbox for a few dollars. The autonomous runtime runs on a spare PC at home — no cloud servers needed.
Compare that to a part-time marketing person ($1,500-3,000/month), a bookkeeper ($500-1,000/month), and a project coordinator ($2,000-4,000/month). We’re not replacing those roles — but we’re handling 60-80% of the routine work they’d do.
The agents work from the same knowledge base and follow the same SOPs every time.
This isn’t AI theater
We’re not building this to impress anyone. We’re building it because it works. Every system we deploy for clients, we test on ourselves first. That’s what «we eat our own cooking» means.
